The Opportunity
We are seeking a Senior Marketing and Communications Specialist to join our Firm. This individual works closely with the Palo Alto Marketing & Communications Assistant Director to develop and implement client development, marketing and communication programs and initiatives. Assists partners in preparing new business pitches, conducts client research and supports efforts to promote Firm services to existing and potential clients. Assists in planning client programs and events to promote the Firm’s reputation and brand in the regions, with an emphasis on client and prospect targeting and tracking. Assists with development and preparation of award and directory submissions. Particular focus on ensuring accuracy, consistency and best practice for pitches and marketing materials.
Responsibilities
- Assists in the development and execution of the Palo Alto office and partner marketing/communications goals and tactics. Helps to prepare for and manage marketing meetings with partners and counsel.
- Drafts and produces new business pitches, proposals and responses to RFPs using applications such as Foundation, InDesign, PowerPoint and Microsoft Office, etc.
- Ensures all pitches and marketing materials are up-to-date, consistent, focused and are reflective of correct messages and capabilities of the Firm.
- Provides tactical support and execution with individualized attorney plans and related activities, including tracking and ROI on client development efforts as related to events and conferences.
- Support cross sell and industry segment groups.
- Assists with the production of Chambers and other award and survey submissions for various practices in the Palo Alto office.
- Executes research requests from attorneys in the Palo Alto offices (utilizing Firm’s suite of intelligence tools). Monitors clients, targets, current events and significant rulings as it relates to existing clients and new business opportunities.
- Assists as needed with client-facing events (receptions, dinners, seminars, webcasts and conferences, etc.); plans, executes and monitors all event logistics (venue, services, invitations, printed materials, etc.) and attends events when appropriate.
- Identifies speaking, writing and other profile raising opportunities for partners and counsel. Tracks all profiling raising opportunities for the Palo Alto office.
- Assists with the office practice area descriptions for the Firm's website and other marketing materials in coordination with various practice leaders.
- Prepares and updates partner, counsel and associate biographies as needed.
- Monitors activities of and communicates with partners, counsel and senior associates regarding matters; promotes successes and coordinates detailed experience capture/entry into Foundation database tool with experience team for use in pitches, proposals and internal and external communications.
- Assists with the creation of efficiencies and templates for reporting.
- Coordinates partners' contact lists in InterAction (CRM) for the purposes of Firm mailings, tracking and event invitations.
- Ensures current knowledge of Firm policies and practices for professional staff and current knowledge of industry trends and techniques.
- Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
- Manages Firm resources responsibly.
- Complies with and understands Firm operation, policies and procedures.
- Performs other duties as assigned.
Qualifications
- Broad and thorough knowledge of Marketing and Business Development in a large law firm or professional services environment
- Knowledge of relevant Firm computer software programs (e.g. CRM, database management, InDesign, Outlook, Excel, Word, PowerPoint) with ability to learn new software and operating systems
- Ability to synthesize data and accurately capture it in a narrative
- Strong listening and consultative skills
- Demonstrates effective interpersonal and communication skills, both verbally and in writing
- Demonstrates close attention to detail
- Excellent analytical, troubleshooting, organizational, planning, and research skills, including the ability to evaluate existing systems and create new ones
- Ability to handle multiple projects and shifting responsibilities
- Ability to handle sensitive matters and maintain confidentiality
- Ability to organize and prioritize work
- Ability to work well in a demanding and fast-paced environment
- Ability to work well independently as well as effectively within a team
- Ability to use discretion and exercise independent and sound judgment
- Flexibility to travel and adjust hours and work the hours necessary to meet operating and business needs
Education and Experience
- Bachelor's degree
- Minimum of 7 years’ directly-related experience in a professional services environment

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.
Salary Details
$120,000 - $135,000
