Job Purpose
The Director, Print Services and Document Control directs staff to ensure effective and efficient handling of inbound and outbound mail as well as high-quality creation of printed and electronic communications. Through management staff, directs work activities to meet service level agreements (SLAs) and Corporate Support Services' (CSS) strategic goals. The Director will create an environment where the Print Services and Document Control Center managers are empowered to utilize their staff and resources to continually improve processes while meeting SLAs. The Director is responsible for assisting the Vice President of CSS in the development of strategic and tactical direction of the department. The Director is responsible for managing the budget for Print Services and the Document Control Center.
Essential Responsibilities
Provides guidance and direction to team managers regarding department activities and procedures.
Directs the development, implementation, and on-going operation of monitoring print and document control systems to ensure the health and performance of business processes and equipment.
Provides leadership in the strategic planning with other Jackson leaders in the design and implementation of new processes and procedures in support of corporate initiatives.
Partners with departmental and organizational leaders to identify and resolve complex/critical service issues and outages.
Responsible for ensuring that the Print and Document Control risk controls are developed, maintained, and adhered to by the teams.
Evaluates existing procedures and establishes and implements changes ensuring compliance with corporate expectations as well as with state and federal regulations. Creates new procedures as necessary.
Communicates goals and expectations with managers regularly through team meetings and one-on-one discussions.
Holds managers accountable for ensuring that all business functions meet established company service standards.
Responsible for the continuing development of department managers.
Encourage teamwork and career advancement across teams.
Directs managers and direct reports and provides oversight for personnel actions including hiring, performance and salary reviews, disciplinary action, and terminations.
Responsible for planning, development, and adherence to departmental budget.
Provides oversight to managers regarding vendor relationships, reviewing contracts, ensuring that Jackson is supported and that services are met in accordance with agreements.
Reviews and signs off on Disaster Recovery testing strategy, policies, and procedures.
Drives audit activities taking place in the Print or Document Control areas.
Ensures key strategic partnerships, including mail, delivery, print, inserter vendors, are evaluated for efficiencies and accuracy on a regular basis.
Other Duties
Available 24/7 for escalated issues.
Performs other duties and/or projects as assigned.
Knowledge, Skills and Abilities
Excellent leadership skills with ability to develop staff through coaching, training, and support required.
Proven experience managing teams and administering personnel actions including performance and salary reviews, hiring, corrective action and terminations.
Excellent interpersonal and communication skills with ability to communicate effectively across all levels within the organization and external customers.
Ability to adapt and think creatively in an ever-changing environment.
Strong problem-solving and decision-making skills that can be applied in a fast-paced environment.
Ability to delegate effectively.
Strong knowledge of Microsoft Office products.
Strong knowledge of postal/shipping practices, document control, printing, mail insertion, and finishing technologies preferred.
Strong knowledge in USPS rules and regulations and the tools and services available.
Qualifications
Bachelor's Degree or equivalent work experience required.
8+ years of business experience required.
Prior formal leadership experience required.
Experience managing/leading multi-functional groups to achieve business objectives required.
Insurance or financial services experience preferred.
