Get to Know the Opportunity:
The Senior Talent Acquisition Operations Specialist will provide operational support and direction for full cycle recruiting in a busy financial services corporate recruiting department. Responsible for ensuring adherence to Voya HR policies and procedures with onboarding new hires.
The Contributions You’ll Make:
Background Checks:
- Monitors, grades, and completes all backgrounds run on our new hires, ensuring all sections have been completed per decision grids/company guidelines (references, criminal, drug screen, education, employment, credit, broker check and/or professional license verification).
- Continually partners with BG check vendor and engages in Compliance training to ensure our guidelines and packages are in compliance with ever changing federal and state regulations including FINRA.
- Primary research and responsibility staying abreast and educated on changing laws/best practices. Socialize all recommendations for modifications to TA Ops Manager.
Offer Letters:
- Partners with key HR stakeholders to update and maintain Voya Offer Letter templates. Assists recruiters and HR Advisors with offer letter completion according to established SLA’s, drafts and seeks approvals for specialized language.
Employee Referral Program:
- Owns and maintains program guidelines, ensuring criteria are met for each submitted bonus; handles all reporting, approvals, communications, and payout tracking.
- Provides recommendations for program improvements based on research and knowledge share with partner companies.
- Maintains guidelines on myHR and handles quarterly enterprise communications on Voya360, proactively working with recruiters on campaigns for hard to fill jobs.
Day One Coordination:
- New Hire Reporting, content build out and maintenance, weekly I-9 audit across all sites ensuring accurate and compliant submission of all forms, E-Verify administration, oversight of all pre-hire and post-hire onboarding communications and the hire process in Workday.
- Reviews onboarding content on a quarterly basis for enhancement opportunity.
- Oversees the Business Overview content, updating on a quarterly basis, working closely with Retirement, EB and IM SMEs.
Form I-9s:
- Ongoing tracking of all I-9s that require reverification and audit reporting for the enterprise.
RFPs/ Surveys/Audits:
- Coordinates thoughtful responses for all requests on behalf of the TA team, working with appropriate TA SME depending on content requested.
Vendor Management:
- Manages vendor relationship with background partner, acts as liaison with other preferred vendors and procurement, tracking MSAs/SOWs, updating contact information, responding to inquiries as requested.
- Reports on scorecard, and helping to manage performance/provide feedback.
Office Management:
- Ensures all office supplies are ordered, office equipment is in working order, coordinates calendars, team meetings and travel for executive interviews.
- Assists recruiters with job fair coordination, candidate tracking, set-up, and giveaways.
- Manages the ordering and budget tracking of office supplies, including Day One and Career Fairs.
- Develop flyers for industry associations/networks. Develop on going communication plan.
SharePoint Owner / Administrator:
- Continual partnership with recruiters and HRSD to ensure all critical process guides and references are up to date.
Continuous Improvement:
- Workday: Ideates on and drives Workday automation and enhancement projects and assists with testing as well as the change management process/training.
- Document Retention: Review, coordination, and retention of all regulation documents in accordance with Voya Compliance Departments.
- Recruitment Support: Utilize tools and technologies to measure ROI and capabilities of resources to deliver analytics leveraged to manage recruitment costs, build sourcing effectiveness, and drive results (i.e. job boards, social media, etc.)
- Other special projects and duties as assigned.
- Ensuring adherence to Voya HR policies and procedures with onboarding new hires.
Minimum Knowledge & Experience:
- College degree
- Strong computer skills including Advanced Excel, Word, PowerPoint, on-line calendar products, and conferencing systems.
- Excellent organizational and process skills with a demonstrated ability to work on multiple priorities at one time.
- Ability to meet deadlines while maintaining a high degree of accuracy.
- Strong team player and collaborative work style.
Preferred Knowledge & Experience:
- prefer at least 1-2 years supporting the HR or staffing function
- Workday experience desired.

Compensation Pay Disclosure:
Voya is committed to pay that’s fair and equitable, which means comparable pay for comparable roles and responsibilities.
The below annual base salary range reflects the expected hiring range(s) for this position in the location(s) listed. In addition to base salary, Voya offers incentive opportunities (i.e., annual cash incentives, sales incentives, and/or long-term incentives) based on the role to reward the achievement of annual performance objectives. Please note that this salary information is solely for candidates hired to perform work within one of these locations, and refers to the amount Voya Financial is willing to pay at the time of this posting.
Actual compensation offered may vary from the posted salary range based upon the candidate’s geographic location, work experience, education, licensure requirements and/or skill level and will be finalized at the time of offer. Salaries for part-time roles will be prorated based upon the agreed upon number of hours to be regularly worked.
