What You’ll Do
As a New Business Specialist, you will own the client onboarding lifecycle for advisor-sourced accounts and policy transfers. You will manage the end-to-end process, including coordinating and processing paperwork, handling life insurance, annuity, and death-claim workflows, and overseeing beneficiary and claim processes. You will work closely with carriers and custodians to ensure smooth transitions, accurate documentation, and timely updates that support client outcomes and maintain operational compliance. Your attention to detail and ability to navigate complex processes will be key to delivering a seamless experience for clients and advisors.
- Life & Annuity Onboarding: Manage end-to-end setup for Security accounts, life insurance, and annuity contracts, including exchanges, Regulation 60, and partial and full transfers.
- Death Claim Handling: Intake and process death claims or beneficiary claims: collect required documentation, submit claims to carriers, track status, and communicate outcomes to advisors and clients with sensitivity and accuracy.
- Document Preparation & Review: Prepare, review, and verify that form (policy applications, transfer/rollover requests) requirements are met.
- Workflow Coordination: Track submissions and exceptions in operational systems (MILL, ASH, Black Diamond, Salesforce, DocuSign or equivalents); escalate issues and maintain procedural notes within the client's file.
- Client & Partner Communication: Draft professional, empathetic client-facing and advisor-facing communications for onboarding, claim status updates, and required actions.
- Vendor & Carrier Liaison: Work directly with carriers (e.g., Jackson National), custodians (e.g., Charles Schwab), and third-party vendors to resolve policy, annuity, and claim-related issues.
- Quality Control & Compliance: Ensure adherence to regulatory and carrier-specific requirements; maintain secure client files and documentation for audits.
What You’ll Bring
- Experience: 3–5 years in life insurance, annuity, and death-claim processing, preferably in a financial services or wealth management environment.
- Technical Skills: Proficiency with operational systems such as Salesforce, DocuSign, and portfolio/accounting platforms (e.g., Black Diamond, MILL, ASH); strong MS Office skills.
- Regulatory Knowledge: Familiarity with industry regulations (e.g., Regulation 60), carrier-specific requirements, and compliance standards.
- Attention to Detail: Ability to review and verify documentation accurately and maintain secure client files for audits.
- Communication Skills: Strong written and verbal communication skills; ability to draft professional, empathetic client and advisor communications.
- Organizational Skills: Skilled at managing multiple workflows, tracking submissions, and escalating issues promptly.
- Problem-Solving: Ability to liaise effectively with carriers, custodians, and vendors to resolve complex policy and claim issues.
- Client Service Orientation: Demonstrated ability to handle sensitive situations (e.g., death claims) with discretion and professionalism.

- This position follows a hybrid work model, requiring three days per week onsite at our Pearl River, NY office to foster collaboration and support operational workflows. Please note: During the initial training period, you will be expected to work onsite five days per week.
- Base salary of $55,000- $65,000 plus discretionary bonus (exact base salary amount will be dependent on experience)
