Position Summary
The Audiovisual (AV) Scheduler is responsible for coordinating and managing the scheduling of AV resources, equipment, and personnel for meetings, conferences, and events. This role ensures smooth execution of AV services by efficiently allocating AV resources and maintaining detailed schedules. The ideal candidate has strong organizational skills, excellent communication abilities, and experience with AV technology.
Essential Duties And Responsibilities
Typical responsibilities include, but are not limited to, the following:
- Coordinate and schedule audiovisual equipment and personnel for meetings, conferences, events, and special projects.
- Serve as the point of contact for internal and external clients to understand AV needs and ensure appropriate equipment and staffing is allocated.
- Maintain a detailed calendar of AV bookings and reservations, including setup and teardown times, equipment requirements, and personnel assignments.
- Optimize the use of AV equipment and personnel by ensuring no double bookings and efficiently managing overlapping requests.
- Work closely with AV technicians and engineers to ensure all technical requirements are met before, during, and after events.
- Provide basic on-site support for events to ensure proper AV setup and functionality, as needed.
- Ensure that equipment is properly maintained and coordinate repairs or replacements as necessary.
- Maintain accurate records of AV resource usage, scheduling, and client interactions for future reference and audits.
- Quickly address and resolve any scheduling conflicts, AV issues, or last-minute changes to ensure a seamless event experience.
- Ensure AV operations comply with company policies and industry standards, particularly regarding safety and equipment handling.
- Execute other duties as assigned.
Qualifications/Position Requirements
- Minimum of 5 years of experience in AV coordination, scheduling, or a related role.
- Experience working with various video conferencing platforms (e.g.,Zoom, MS Teams, Webex).
- Experience with AV scheduling software or platforms (e.g., EMS, Microsoft Outlook, etc.).
- Knowledge of AV equipment, including projectors, microphones, speakers, video conferencing systems, and control systems.
- Ability to manage a varied workload and meet deadlines.
- Must be punctual and reliable.
- Strong interpersonal skills.
- Must be able to work collaboratively with lawyers and staff, demonstrating strong teamwork and a positive attitude.
- Excellent written and verbal communication skills.
- Ensure confidentiality of all the Firm’s client's documentation and information.
Education And/or Experience
- Bachelor’s Degree in technology or related field.
- Prior AV experience, preferably in a large law firm or professional services environment.
Compensation
The expected base salary for this position ranges from $75,000 - $90,000. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, anticipated assignment, and, where applicable, licensure or certifications obtained.
