Office Manager/Corporate Travel Specialist, Management Reporting – Fort Lauderdale, FL

PineBridge Investments is seeking a Office Manager/Corporate Travel Specialist to manage the travel & expense email box, handling security issues, acting as a liaison for problem resolution, overseeing Concur profiles and inquiries, coordinating office supplies, and managing visitor reception and mail operations. The candidate should possess strong communication, organizational, and customer service skills, be proficient in Microsoft Office, and be capable of handling multiple tasks efficiently while maintaining relationships with building administration and other stakeholders.
Primary Responsibilities:
- Participate in supporting the Travel & Expense email box answering policy questions or card inquiries.
- Handle security issues (fraud, lost/stolen activity/compromised accounts)
- Act as a liaison in the above to facilitate problem resolution.
- Triage concerns program manager & leadership.
- Manage inquiries/process of card application procedures, expectations, and card delivery information.
- Complete card issuance/closure, expedited delivery requests.
- Assist with card maintenance (card account edits – name change, card profile updates).
- Manage account controls (overrides, temporary limit adjustments).
- Act as a resource for regions with Concur inquiries.
- Adhoc concur report requests.
- Provide occasional assistance to employees regarding any issues with Corporate Travel site (CTM).
- Manage Americas Concur Profiles (set up, terminate, updates).
- Reception and coordination of visitors to the office; attend to visitors needs and later rearrangement of meeting rooms.
- Coordinate office event plans
- Coordinate with company IT department to ensure that all office equipment is working correctly.
- In charge of courier, mail and messenger operations.
- Control and ordering of Office Supplies including coffee, etc.
- Maintain control of inventories, anticipating reorders.
- Relationship with the Building Administration.
Qualifications:
- Minimum of 1-3 years of experience in office management, corporate travel, or expense management roles (preferred but not required).
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with Concur Travel and Expense Management software.
- Familiarity with corporate travel management tools and platforms (e.g., Corporate Travel Management (CTM) systems).
- Excellent verbal and written communication skills.
- Strong interpersonal skills with the ability to act as a liaison and facilitate problem resolution.
- Ability to handle sensitive and confidential information with discretion.
- Excellent organizational skills with the ability to manage multiple tasks and priorities.
- Strong attention to detail
- Strong customer service orientation Ability to adapt to changing priorities and handle ad hoc requests effectively.
