The Position
The Senior RFP RFI Specialist is responsible for assisting in all aspects of RFP, RFI and DDQ completion. This includes standard quarterly client reporting, database updates, creation and maintenance of reports used for responding to questionnaires, assistance with review/quality control, and completion of new questionnaires as assigned by the RFP RFI Team Lead or Director, Marketing Operations. The Senior RFP Writer is expected to be proficient in Responsive (RFP software). Additionally, responsibilities may include various vendor oversight/ownership.
Responsibilities
- Complete assigned monthly and quarterly RFIs and handle communication with requestor. Ensure an accurate and on time delivery of information.
- Assist in both the qualitative and quantitative aspects of RFI, RFP and DDQ completion.
- Oversee quality of information reported to databases, including periodically reviewing and updating narrative information and responding to new questions added.
- Ensure databases are accurately updated through OMNI in a timely manner each quarter.
- Liaise with OMNI representative to make changes to our product line up or other adjustments as needed as well as work through any issues that may arise.
- Take on more complex/non-standard assignments with less supervision.
- Assist in new employee training.
- Respond to client email inquiries and set reminders to follow-up on a daily, monthly and quarterly basis.
- Demonstrate proficiency with Responsive for use in RFI, RFP and DDQ completion and answer library maintenance.
- Assist with review and quality assurance of other team member’s work.
- Client/Advisor/Consultant correspondence: ad hoc as well as providing standard materials on an on-going basis.
- Log and track client requests by closely monitoring requests as they come in through our group email.
- Assist Director, Marketing Operations with ad hoc projects as requested.
- Potential vendor oversight/ownership.
Qualifications
Required
- Bachelor’s degree in Business, Finance, Marketing or related field.
- High levels of proficiency in Microsoft Office and RFP software (Responsive preferred).
- Proficiency in Salesforce, with a focus on reporting and tracking.
- Ability to work well independently and within a team environment.
- Demonstrated organizational skills with the ability to juggle multiple projects with conflicting deadlines.
- Demonstrated detail orientation.
- Outstanding verbal and written communication skills.
- Strong analytical and mathematical skills.
Nice to Have
- 3-5 years prior RFI/RFP work experience in financial services industry.
Special Requirements
May be required to occasionally work during off-times (early morning hours and/or evening hours,) due to special projects/deadlines. Working hours of the position may also vary from normal business hours and flexibility is key.
