The Opportunity
We are seeking an Engagement Letters Supervisor to join our Firm. This position will be based in our New York office (hybrid). The Engagement Letters Supervisor oversees the drafting of engagement letters and analyzes outside counsel guidelines. The role devises and implements efficient processes for organizing and managing legal documentation and compliance, participates in department and Firm projects, provides strategic analyses to partners and upper management, and coordinates the dissemination of knowledge and information with respect to Office of the General Counsel procedures. Responsibilities include but are not limited to:
- Reviews and drafts clear and comprehensive engagement letters and ensures compliance with company policies and legal standards.
- Reviews and interprets outside counsel guidelines to ensure alignment with company objectives and provides recommendations for improvements and compliance strategies.
- Oversees collection of required engagement and waiver documentation.
- Oversees staffing to ensure that all tasks are being handled expeditiously and accurately.
- Serves as resource and a central point of contact regarding client engagement terms and information requests.
- Performs strategic analyses in support of the Firm's client-based and industry-specific initiatives.
- Processes requests associated with accepting and indexing client engagement documentation.
- Communicates, with internal and external clients, in a manner that is professional, knowledgeable and reflective of the Firm's strategy with respect to the negotiation of engagement letters, outside counsel guidelines and RFP's while maintaining the integrity and quality of the client relationship.
- Designs and implements processes for organizing legal documents, engagement letters, compliance documentation, and other correspondences.
- Develops systems to track and manage engagement letters and compliance documentation.
- Establishes metrics to evaluate the effectiveness of implemented processes.
- Ensures current knowledge of Firm policies and practices for staff, current knowledge of industry trends, and continued professional development for staff.
- Participates in the interviewing, selection and training process for new staff.
- Recommends and implements changes and improvements in methods and procedures to higher level management.
- Coordinates and oversees department projects, day-to-day operations and long-range plans.
- Monitors time, attendance, overtime, and expense reports to ensure accuracy and compliance with Firm policies.
- Recommends and participates in disciplinary procedures.
- Effectively utilizes the Firm's performance management process to communicate performance expectations, monitor performance, coach employees, and manage unsatisfactory performance.
- Oversees employees' work performance and provides guidance in the resolution of problems.
- Initiates disciplinary procedures in collaboration with the Human Resources Department.
- Recommends guidelines and practices to promote efficiency, effectiveness, excellent customer service and improved employee relations, in alignment with the Firm's Core Values.
- Develops and communicates departmental guidelines and procedures.
- Ensures accurate and timely responses to requests for departmental services.
- Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
- Manages Firm resources responsibly.
- Regular and reliable physical presence (ex: work as part of a team, meet with clients, use on-site equipment, etc.)
- Complies with and understands Firm operation, policies and procedures.
- Performs other related duties as assigned.
Qualifications:
- Knowledge of drafting and reviewing engagement letters, and responding to client and internal questions regarding such documents
- Knowledge of how a law firm operates, including awareness of the key elements in the relationships between a firm and its clients
- Ability to break down complicated tasks into smaller components
- Ability to meet deadlines
- Ability to read, interpret, and draft instructions
- Ability to solve problems creatively
- Ability to spot concerning issues when analyzing requests and understanding how to elevate those issues to supervisors
- Ability to synthesize, interpret and summarize information in a clear and concise manner
- Excellent writing and editing skills
- Demonstrates experience with leading and supervising others
- Current knowledge of industry best practices, trends and techniques
- Knowledge of relevant Firm computer software programs (e.g., Outlook, MS Word, Excel, PowerPoint, Litera Compare/redlining software), with the ability to learn and actively interact with new software and operating systems (e.g., Aderant Expert, A.I., relational databases)
- Knowledge and implementation of the annual budget process
- Demonstrates effective interpersonal and communication skills, both verbally and in writing
- Demonstrates close attention to detail
- Excellent analytical, troubleshooting, organizational, and planning skills
- Ability to administer Firm policies and procedures
- Ability to handle multiple projects and shifting priorities
- Ability to handle sensitive matters and maintain confidentiality
- Ability to organize and prioritize work and delegate effectively
- Ability to work well in a demanding and fast-paced environment
- Ability to work well independently as well as effectively within a team
- Ability to use discretion and exercise independent and sound judgment

Experience/ Education
- Bachelor's degree
- Minimum of five years of related experience, and one year of supervisory experience

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.
Salary Details
$145,000 - $160,000
