OVERVIEW:
The primary function of the Endowment & Foundation (E&F) Advisory Associate is to support the designated E&F Relationship Managers and other Management Associates in day-to-day nonprofit client contact, including but not limited to relationship management, account administration, compliance requirements, and other functions as required, in order to maintain excellent relationships with clients, external professional advisors and internal team members.
RESPONSIBILITIES:
Account Support and Administration: Support relationship managers in the administration of trust and investment management accounts for foundations, endowments, and other tax-exempt entities. Duties may include daily transaction processing, securities transfers, cash and check requests, gifts, grants and expense processing and administration, deposits, routine to moderately complex client information requests and updating client information. Assist with account opening, asset transfer, account maintenance, account terminations, and special asset management. Support clients with annual audit requests. Interact with other departments as needed. Be a power-user of client support technology systems, including the client relationship management system and the system of record for client transactions. Manage incoming and outgoing communications, including preparing correspondence and managing document retention.
Client Service and Manager Support. Act as an initial point of contact for client inquiries and team communications. Independently handle certain complex client (internal and/or external clients) inquiries. Respond to client requests or proactively identify potential issues in the normal course of business, undertake research or take needed action to resolve (with guidance from senior officers where appropriate) and keep all relevant parties informed. Serve as direct back-up to other team/office support professionals to provide team-based coverage. Coordinate client meetings and events, including scheduling, dining arrangements, travel, security, and other related activities. Assist in the reception of client guests, and answer office phones and emails as needed. Prepare client and prospect meeting materials; assist with the preparation of presentation materials for meetings in collaboration with relationship teams, and coordinate with investment, tax, finance, or other departments to ensure deadlines are met. Assist in the completion of expense reports, cash flow reports and other related requirements for managers and team members.
Firm-building. Active engagement in department-specific and firm-wide initiatives in order to expand capabilities, create solutions to unmet business needs, improve client experience, or develop more efficient processes. Ability and willingness to contribute to the advancement of team, office and business capabilities. Develop customized new business presentations for prospective clients, assimilating guidance from Relationship Managers and other team members. Other duties as required by the position.
REQUIRED QUALIFICATIONS:
- Bachelor's degree or equivalent experience required.
- 2-4 years of experience in a financial services or nonprofit environment required, with strong interest in nonprofit financial administration.
PREFERRED QUALIFICATIONS:
- Advanced knowledge of Microsoft Office (Excel in particular, as well as Word and PowerPoint) and ability to adapt to CRM-oriented applications (e.g. Salesforce) and other internal platforms (Global Plus, Smart Simple).
- Superior team orientation. Self-starter with a great deal of initiative. Ability to work independently and prioritize workload to accommodate numerous last-minute client-driven requests.
- Excellent written and verbal communication skills, with both internal teams and clients. Full understanding of client privacy and confidentiality.
- Proven competence in the following: ability to work well under pressure; detail-oriented, particularly with financial calculations and written materials; organizational and problem-solving skills; ability to multi-task, prioritize work and meet deadlines.
