Role: Executive Assistant to the Chief Information Officer and Senior Executives
Responsibilities
As an Executive Assistant, you will provide day-to-day administrative support to the Chief Information Officer (CIO) and 1-2 other senior executives within large organizations. Your key responsibilities include:
- Calendar Management
- Maintain and monitor the calendars of the CIO and senior executives.
- Coordinate agendas and send meeting invitations.
- Book meeting rooms and arrange IT resources and refreshments for meetings.
- Travel Arrangement & Expense Reporting
- Arrange travel and maintain travel expense accounts for the CIO and senior executives.
- Process expense reports/invoices and update financial reports as needed.
- Professional Support
- Prepare correspondence, minutes, reports, and presentations of a confidential and strategic nature.
- Assist with the preparation of management reporting and presentations for senior leadership.
- Event and Meeting Planning
- Organize and coordinate events, meetings, and conferences, ensuring all logistical details are managed effectively.
- Collaborate with internal teams and external vendors to ensure successful event execution.
- Guest and Vendor Support
- Serve as the primary point of contact for guests and vendors, ensuring a positive experience and addressing any inquiries or issues.
- Manage vendor relationships and coordinate services as required for the technology organization.
- Administrative Duties
- Provide ongoing administrative support, including onboarding/off-boarding activities for new and departing employees.
- Process requests for technology requirements, business cards, and corporate cards for executives.
- Miscellaneous Activities
- Assist with various tasks and projects as needed to support the large technology organization and its initiatives.
Qualifications
- Experience: 3-5 years as an Executive Assistant supporting senior executives in a professional, confidential, and fast-paced environment.
- Communication Skills: Excellent verbal and written communication skills; ability to interact with a wide range of individuals at all organizational levels.
- Digital Proficiency: Strong command of MS Office suite (Word, Excel, PowerPoint, Outlook).
- Attention to Detail: Strong critical thinking skills and meticulous attention to detail.

Compensation and Benefits
CIBC offers a competitive total rewards package, including:
- Salary Range: $60,000 - $85,000 based on experience, qualifications, and location.
- Incentive Compensation: Eligibility for the business unit’s incentive compensation plan, including discretionary bonuses.
