Summary:
Seeking a motivated individual to provide comprehensive client service and administrative / operational support to a Senior Fiduciary Officer in the administration of trust, estate, and investment management accounts.
Responsibilities:
- Communicate directly with Private Wealth clients to build and deepen relationships.
- Receive and fulfil client requests for distributions, account information, tax information, etc. and convey when appropriate such information to clients and their legal and tax advisors.
- Act as a liaison between clients, beneficiaries, and co-trustees and their Wealth Advisors and Portfolio Managers.
- Work with clients and their advisors to gather information and documents necessary to open new trust and estate accounts.
- Facilitate the rebalance of trust and client portfolios by entering mutual fund and ETF trades, journaling assets between accounts, and working with portfolio manager teams to raise cash or invest additional assets.
- Proactively review account cash balances so funds are available for scheduled periodic remittances and enter required manual distributions in disbursement system; review daily overdraft reports and address issues immediately.
- Prepare and maintain materials necessary for monthly and annual compliance reviews of trust and client relationships and follow up on variances so accounts comply with Trust Company policies and procedures, ensuring successful audits.
- Assist Fiduciary Officers in the calculation of annual distribution amounts and documentation of discretionary distributions by writing and editing memoranda for trustee records.
- Partner with colleagues in various Private Wealth Operating Platform groups to address client requests and open, maintain, and close accounts within business controls that mitigate risk.
- Perform account maintenance including but not limited to statement setup, name/address changes, year-end charitable gifting, ACATS and DTC transfers, cost updates, billing/fee setup and changes, online access, etc.
- Monitor account activity including trades, cash flows, debits, margin, tech shorts, performance, transfers, allocations, fees, etc. by utilizing various in-house systems.
- Maintain accurate and detailed client files.
Qualifications:
- Undergraduate degree and minimum of 2-4 years of client service/support or related experience in the financial services industry.
- Experience in trust or estate administration is a plus but not required.
- Strong interpersonal and client servicing skills.
- Strong written and verbal communication skills.
- Ability to work well under pressure and organize, prioritize, and manage multiple tasks / projects with short- and longer-term deadlines.
- Proactive, detail-oriented, and organized with strong follow-up skills.
- Motivated by problem-solving; engaged, thoughtful, and curious.
- Team player who enjoys collaborating with others.
- Proficiency in MS Office (Excel, PowerPoint, Word and Outlook) and Salesforce relationship management systems.
Compensation Details
The salary range for this role is $65,000-$90,000. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. We may ultimately pay more or less than the posted range, and the range may be modified in the future. This range is only applicable for jobs to be performed in New York City. An employee’s pay position within the salary range will be based on several factors including, but limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, any collective bargaining agreements, and business or organizational needs. This job is also eligible for a discretionary bonus.
