POSITION OVERVIEW
The primary role of the Document Control Team (DCT) is to act as the final checkpoint in the document execution process. It is the DCT's responsibility to review and coordinate the signature process, ensuring the seamless transfer of all signed documents into our warehouse system for secure management. The DCT also acts as a liaison, coordinating the access to new deal data rooms; this encompasses effective collaboration with the Deal Team, Trading Desk, and Agents. Beyond document execution and facilitating new deal dataroom access, the DCT serves as a central hub for external requests, ensuring they are directed to the appropriate internal contact. The Document Control Associate is part of the Capital Markets Legal Department and will support the Capital Markets business units of Bain Capital.
KEY RESPONSIBILITIES:
- Document Review & Control: Ensure all documents being received are reviewed, validated, and properly processed for execution.
- Signature Coordination: Oversee and manage the process for capturing necessary signatures and deliver signed documents in a timely fashion.
- Document Management: Maintain and organize the document warehouse system to ensure easy retrieval of documents when needed.
- Data Room Management: Serve as a coordinator for data site access for new deals - facilitating collaboration and acting as point-of-contact for Deal Teams, Trading Desks and Agents.
- Request Routing: Handle all incoming external requests and route them to the appropriate internal contacts.
- Process Improvement: Continuously improve document control procedures to enhance efficiency and security.
- Document Lifecycle Management: Manage the entire document lifecycle from review, execution, delivery, and retention.
- Legal Spend Management: Play key role in managing $150M+ of external legal spend by acting as liaison between internal investment teams and external law firms for all invoicing matters; prepare regular reporting for senior management and portfolio teams.
- Cost Forecasting and Analysis: Work alongside investment and asset management teams to manage external costs across global investment portfolio, including compiling deal budgets, forecasting and controlling spend, and producing cost optimization analyses.
TECHNICAL/COMPLIANCE QUALIFICATIONS:
- 0 to 2 years of experience required. Previous work experience in specific legal and compliance functions, including: Control Room; Ethical Walls; or related functions a plus.
- Prefer experience from an investment bank or investment management firm.
- Proficiency in Microsoft Office products (Access, Excel, Outlook, Word) and Adobe Acrobat.
GENERAL QUALIFICATIONS:
- Detail-oriented, conscientious, and energetic professional with ability to think creatively.
- Excellent project management and organizational skills; ability to prioritize multiple projects with high attention to detail while working under deadlines.
- Dedicated team player with a strong sense of ownership and follow-through skills.
- Ability to read and classify complex legal documents.
- Capacity to handle highly confidential and sensitive information.
- Knowledge of basic financial instruments, fixed income, and credit markets is a plus.
- Strong interpersonal skills with capacity to interact with outside parties and personnel across all levels of the firm.
- Strong problem-solving skills.
- Prior experience with SimpleLegal and DocuSign a plus.
DESIRED EDUCATION:
Undergraduate degree required.
