Summary
Ares is looking for an Analyst, Event Manager to join the Global Conferences & Events team. The team is part of the Global Clients Solutions group and has members based in New York, Los Angeles, London, and Mumbai. The Analyst, Event Manager will be responsible for planning small-sized events from initial concept discussions through execution. Events are hosted in person and virtually, and typically range in size from 10 to 50 attendees. The individual will manage multiple vendor relationships and will closely align, and effectively interface and liaise with North America Relationship Managers within the Global Client Solutions Group as well as additional stakeholders.
The successful candidate will work closely with business leaders to understand and implement the event requirements within the regional division. Strong project management skills are essential for executing comprehensive event logistics, including budgeting, venue selection, contract negotiation, catering, audiovisual arrangements, and onsite assistance. As a detail oriented and deadline driven professional, the candidate will excel in a fast-paced setting, ensuring the delivery of outstanding events.

Reporting Relationships
Reports to: Vice President, Small Meeting Management, Global Client Solutions
Primary functions and essential responsibilities
Successfully plan and execute small-sized in-person investor events, including breakfast seminars, lunches, speaker series, dinners, receptions, roadshows, sporting events, and internal offsites
Manage virtual events such as webinars including coordination and operation of virtual platforms such as Zoom
Coordinate participation, membership, and sponsorship of several third-party industry conferences
Responsible for event logistics such as venue research and contracting, food and beverage, transportation, hotel room block, gifts, production/audiovisual management, and onsite execution
Manage event budgets, including creation, reconciliation, and invoice processing
Provide onsite support for industry events and conferences
Liaise with stakeholders to understand event schedule, requirements, and timelines
Partner with internal teams such as Creative Solutions on invitation design and event branding, and Compliance on invitation list approval
Ensure an engaging client experience and achievement of program objectives by consistently meeting deadlines on assigned events and projects and keeping stakeholders apprised
Partner with Event Registration team on RSVP tracking in Cvent & Salesforce and report distribution to stakeholders
Take on ad hoc projects and support the broader team as needed

Experience Required
General Requirements
Proficiency in Excel, PowerPoint and Word and experience in Cvent and Salesforce
Ability to thrive in a fast-paced, demanding environment while maintaining high quality standards
Adept at time management to successfully manage multiple priorities with high stakes deadlines; results oriented

Compensation
The anticipated base salary range for this position is listed below. Total compensation may also include a discretionary performance-based bonus. Note, the range takes into account a broad spectrum of qualifications, including, but not limited to, years of relevant work experience, education, and other relevant qualifications specific to the role.
