Position Summary:
The Office Services Clerk assists the Assistant Manager, with all aspects of office facilities and general office services.
Essential Duties and Responsibilities:
Typical responsibilities include, but are not limited to, the following:
Deliver, sort and collect mail
Deal with internal and external telephone and e-mail enquiries relating to office issues
Internal office delivery of stationery and other items
Monitor email to ensure all requests are actioned in a timely manner
Perform general office maintenance, service requests, and repairs
Photocopy, scan and bind documents
Coordinate courier services
Coordinate facilities requests and work orders
Prepare offices for visitors
Conference room services, maintenance and inventory
Kitchen and pantry services, maintenance and inventory
Food pick-up and delivery for office lunches and meetings
Set-up and clean up after catered office lunches
Supply room stocking and inventory; keep Office Services Coordinator apprised of supply items to be ordered
Assist facilities with office moves, transfers, new hires and departures
Assist Copy Center with copy projects, processing copy jobs, binding documents and stocking copy center with requisite products
Assist with Reception coverage
Qualifications/Position Requirements:
Ability to manage a varied workload and meet deadlines
Must be punctual and reliable
Proficient in Outlook and other applications as required
Strong customer service skills
Strong interpersonal skills
Must be able to work collaboratively with lawyers and staff, demonstrating strong teamwork and a positive attitude
Flexibility in daily schedule to accommodate unexpected situations arising from attorneys/legal assistants and other staff
Good written and verbal communication skills
Ensure confidentiality of all the Firm’s and client's documentation and information
Education and/or Experience:
High School degree or equivalent education and work experience preferred
Experience with customer or client services a plus
Compensation:
The expected base salary for this position ranges from $65,000 - $75,000. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained.
