Job Duties
The Virginia Retirement System (VRS) is seeking an hourly SharePoint Administrator to maintain VRS' Education & Training’s (E&T) SharePoint infrastructure to include: document repositories, workflows, customized homepages and communications. This position provides leadership with data usage reports, news digests, customized alerts and facilitates training as technology improves. Works closely with document creators and the end users to ensure accessibility, permissions, editing and to optimize site design and functionality. Collaborates with the VRS SharePoint Architect to troubleshoot and resolve any technical problems for uninterrupted continuity.
Essential functions include but are not limited:
• Plan, draft, test, and launch SharePoint webpages. Work with Customer Contact Center Supervisors to build and design team-specific pages.
• Update Web parts and Apps to keep teammates apprised of upcoming trainings, events and other pertinent projects.
• Manage the document repository for E&T to include: version control, metadata, workflows and permission settings.
• Draft periodic communications detailing new and updated E&T products and how to easily access these products.
• Host biweekly office hours to assist individuals 1:1 with setting up subscriptions, orienting to the team sites and troubleshooting any technical challenges.
• Experience working within complex software systems to capture detailed processes and procedures and present them in a user-centric way.
• Presents slide decks and other presentations cross-departmentally to inform other agency departments of E&T SharePoint initiatives.
• Works within the parameters of VRS’ style guide. Researches methods and technology for improving the efficiency and effectiveness of all resource documents.
• Recommends and makes improvements to existing resources and templates to include administering surveys and analyzing reporting data.
• Works with the SharePoint Architect to troubleshoot and other applicable Education and Training Staff as needs arise.
• Ensures products are finalized, PDF’d and correctly published to the appropriate document repository.
• Performs other duties and projects as assigned.
Minimum Qualifications
Bachelor’s Degree in Computer Science, Information Technology, Technical Writing, or related field, or 5 years of experience creating and maintaining web-based software, or equivalent combination of education and/or experience.
Additional Considerations
Experience managing versioning software and applications for document storage utilizing SharePoint. PC proficiency; skilled with design and editing software (i.e., SnagIt). Mastery of Microsoft Office products to include; MS Word, PowerPoint, Outlook, Excel and Teams. Advanced experience with Adobe products, particularly InDesign, Photoshop and Acrobat Reader DC. Advanced skills using PhotoShop or other image altering software to redact PII while preserving the integrity of the system content. UX experience preferred.
Special Instructions
VRS' current work schedule is two days in the office (Tuesday and Wednesday) and three days remote. All employees must be able to work in the office on any day required by management.
