Position Overview:
CA seeks a Director of Administrative Services to oversee the administrative team supporting our Global Investment Services group. In this of leadership role, this individual will build upon a strong foundation of excellent administrative support from a seasoned team of ~50 professionals around the world. This role requires strategic vision and planning, strong communication skills, a deep interest in developing others and a passion for excellence.
Key Responsibilities
Team Management and Development:
·Hiring, onboarding, training, and developing the administrative assistant team.
·Assign support relationships based on investment team needs and an individual’s workload and skillset.
·Lead performance evaluation process and provide coaching for administrative staff.
·Address team issues and resolve conflicts.
·Ensure adherence to legal regulations and industry standards related to administrative functions.
Administrative Operational Excellence:
·Seek to understand what excellence can and should look like in the administrative function and implement new and innovative ways to achieve that excellence.
·Monitor administrative processes for efficiency and improvement opportunities.
·Develop and implement standardized administrative procedures and policies.
·Training staff on new technology tools and applications.
Communication, Collaboration and Change Management:
·Act as a liaison with various teams to gather data and insights, informing strategic decisions and initiatives.
·Facilitate collaboration and communication across the global admin team.
·Ensure clear and timely information flow to relevant stakeholders.
·Facilitate communication between the admin team and other departments to ensure smooth coordination across the organization.
Strategic Leadership:
·Lead cross-functional projects, with a focus on high-priority initiatives such as the overhaul of professional development programs in the admin team in 2025. Develop and deliver high-impact presentation materials for key meetings.
·Create and oversee a “Center of Excellence” at CA for administrative services across the firm, including administrative teams outside of US Global Investing Services and leadership team executive assistants.
oBuild an inclusive framework to training, recruiting, career development and team building
oAct as a knowledgeable resource, support, mentor
·Partner with Global Recruiting to develop a recruiting process that maintains a pipeline of strong candidates that shortens the recruitment timeline for individual opportunities.
Budget and Resource Management:
·Monitor and manage administrative budgets, including reviewing/approving expenses.
·Lead resource planning exercises to right-size the group and ensure appropriate skill sets exist where needed.
·Monitor and manage the team’s workload, utilization and overtime hours.
Qualifications
·7-10 years of relevant experience (3+ in administrative roles, 5-7 in people manager roles).
·Budgeting and resource management expertise.
·Proven track record in project management, with the ability to drive initiatives to successful completion.
·Ability to adapt to changing priorities, manage multiple tasks, and drive change.
·Exceptional interpersonal skills, with the ability to effectively partner and communicate with senior management and colleagues across the firm (both verbal and written).
·Proficiency in technology systems and collaboration software (e.g., Workday, Microsoft Suite, Asana).
·Strong business acumen; experience in professional services (global setting a plus).
·Ability to drive decisions forward efficiently and operate “in the gray” while maintaining high levels of empathy, inclusion and understanding.
