Position Summary
This position is a member of the HCM Rewards & Operations (HCM R&O) team with responsibility for general administrative support for the HCM R&O Long Term Incentive (LTI) team. This job requires someone who can prioritize workload, work independently and manage multiple tasks quickly, and at times under pressure, with poise and confidence.
Responsibilities include, but are not limited to, monitoring the Internal Stakeholder email box and assigning cases to colleagues, responding to certain email cases, preparing and sending firm-wide communications, processing invoices for HCM, as well as general day-to-day administrative support to the LTI team. This role is the primary liaison between internal stakeholders and various service providers, discretion and discernment are necessary for this role.
In addition, this position will assist on a wide variety of ad-hoc requests and projects and occasionally may work closely with the other R&O team members.
Primary Responsibilities
General Administration:
- Daily interaction with internal and external professionals primarily through Customer Relationship Management tool (Salesforce)
- Exemplify Carlyle style and image in communications both written and verbal
- Maintain investor data for LTI programs in CRM tool
- Manage investor wire updates to completion and in accordance with compliance requirements
- Manage investor onboarding and assist with audit activity related to document refresh
- Prepare, proofread, and send general emails, letters, memos and reports as required
- Assist in posting documents (i.e. distribution letters, carried interest allocation letters, tax documents, etc.) to the LP Reporting Portal
- Provide general administrative support as requested and or needed (copying, filing, mailing, expense reports, etc.)
- Process invoices for HCM
- Assist in a wide variety of projects as reasonably assigned
Requirements
Education & Certificates
- High School diploma required.
- Associates Degree, 4 year degree, or significant work experience preferred.
Professional Experience
- 1+ year of relevant experience, required.
- Human Resources and/or professional services experience a plus, but not required.
Competencies & Attributes
- Proficient in Microsoft Office skills, especially Word and Excel
- Familiarity with CRM tool (Salesforce or equivalent)
- Strong organizational skills and attention to details
- Excellent communication skills - both written and oral
- Maintain confidentiality of all sensitive and confidential issues
- Demonstrated ability to work effectively individually or as part of a team
- Perform at a high energy level and in a deadline-oriented environment
- Willingness to learn and dedication to developing a strong business acumen
Benefits/Compensation
The compensation range for this role is specific to Washington, DC, and takes into account a wide range of factors including but not limited to the skill sets required/preferred; prior experience and training; licenses and/or certifications.
The anticipated base salary range for this role is $60,000 to $65,000.

Additionally, the hired professional may also be eligible to participate in an annual discretionary incentive program, the award of which will be dependent on various factors, including, without limitation, individual and organizational performance.
