Position Summary
We are seeking an Accounts Payable Manager to lead our AP team and ensure timely, accurate invoice processing and payments. This role oversees vendor management, compliance, and process improvements while supporting financial reporting and audits. The ideal candidate brings strong leadership and a solutions-focused mindset to enhance AP operations.
Primary Responsibilities
Supervision & Leadership
- Manage and lead the accounts payable team, ensuring efficient processing of invoices and payments.
- Train, mentor, and develop team members to ensure optimal performance and compliance with company policies and procedures.
- Set performance goals and conduct regular performance evaluations.
Invoice Processing
- Oversee the timely and accurate processing of vendor invoices and payments.
- Ensure proper coding of invoices in the accounting system (e.g., legal entity, account numbers).
- Coordinate and execute the bimonthly pay run processing on the 1st and 15th of each month.
- Daily submit invoices to the Finance Department in Ireland for review and payment from ABS structures. Investigate and resolve rejection issues, ensuring timely resubmission for processing.
- Manage expedited invoices as requested, ensuring that payment is processed within a 24-hour timeframe.
- Download FedEx and DHL invoices, collaborate with the Technical and Legal departments to verify allocation details, and submit for payment processing via Ariba
Vendor Management
- Maintain positive working relationships with suppliers and vendors.
- Resolve vendor disputes or discrepancies regarding invoices, payments, or terms.
- Review and approve Staff's work for supplier (non-deal related) and employee setup / modifications to verify completeness and accuracy of supporting documentation, tax forms, wiring instructions, contact details and callback summary.
Payment Processing, Scheduling, Reconciliation and Reporting
- Approve and schedule payments to vendors, ensuring they are made on time to avoid late fees.
- Oversee the preparation and processing of checks, ACH transfers, and wire transfers.
- Review the monthly accounts payable aging report and resolve any outstanding or overdue invoices.
- Prepare a monthly excel report which includes all payments made by ABS, EV, and Fund Accounting to mark invoices as paid, and to provide payment breakdowns to vendors.
- Review invoices left with status of "Released by ABS" and address with managing agents to ensure they are not double paid
Compliance & Internal Controls
- Ensure compliance with tax regulations (e.g., 1099 reporting, VAT/GST).
- Safeguard against fraud by overseeing the review of payment authorizations.
Process Improvement
- Identify areas for process improvements in the accounts payable cycle, suggesting automation or software solutions when applicable.
- Implement best practices to streamline workflows and increase efficiency within the AP department.
System & Software Management
- Oversee the AP system (e.g., ERP software), ensuring it operates smoothly and effectively.
- Collaborate with IT or finance departments to troubleshoot any software or system issues related to AP processes.
- Stay updated on new tools and technologies that can improve the AP function.
Budgeting, Forecasting and Audit Support
- Assist in budgeting and forecasting processes by providing input on payables and expected payments.
- Coordinate with auditors during internal and external audits, providing necessary documentation and explanations.
- Maintain accurate records for auditing purposes and resolve any discrepancies promptly.
Requirements
Education & Certificates
- Bachelor's degree, required
- Concentration in accounting or finance, preferred
Professional Experience
- Minimum of 7+ years of relevant accounts payable experience
- Proven experience overseeing full-cycle AP processes, including invoicing, vendor management, and payment reconciliation.
- Knowledge of private equity industry and/or Aviation, preferred.
- Ability to adapt to a fast-changing environment and to solve complex issues.
- Experience leading others on routine activities, as well as coaching, mentoring, and providing feedback.
- Solid knowledge of Microsoft Excel, functional knowledge of Microsoft Word and Outlook, and solid understanding of AP systems (knowledge of WMS a plus)
