The Workplace Accommodations Coordinator is responsible for coordinating the agency's accommodation programs and ensuring compliance with federal, state, and TRS policy. The incumbent will assess accommodation requests and identify appropriate solutions, provide assistance and guidance to employees and management regarding workplace accommodations, and coordinate special leave request. This position will proactively work with Organizational Excellence staff, agency employees, and members of the TRS executive and leadership team.
The Workplace Accommodations Coordinator Senior is responsible for managing the agency's accommodations programs and ensuring compliance with federal, state, and TRS policy. The incumbent will coordinate and assess accommodation requests and identify appropriate solutions, provide Organization Excellence support, and monitor the special leave request programs. This position will proactively work with Organizational Excellence staff, agency employees, and members of the TRS executive and leadership team.
This vacancy will be filled at one of two levels. Selected applicant will be offered the position that most closely matches their education and experience.
-Workplace Accommodations Coordinator: $62,000.00 - $81,522.00
-Senior Workplace Accommodations Coordinator: $73,790.00 - $92,237.00
WHAT YOU WILL DO:
Workplace Accommodations
•Administers the agency's FMLA (Family Medical Leave Act) and ADA programs.
•Maintains total hours used each month on each employee certified for FMLA or Worker's Compensation.
•Maintains and ensures confidentiality of all related program records.
•Updates agency FMLA policies and procedures and ensures compliance.
•Conducts ergonomic assessments as necessary and presents results and recommendations to management.
•Provides confirmation of FMLA eligibility and associated benefits.
•Provides advice, counsel, and technical assistance to managers, supervisors and staff regarding workplace accommodations.
•Assists the agency's Safety Officer with processing claims related to Workers' Compensation.
•Maintains and ensures confidentiality of all related program records. (Senior)
•Develops and delivers trainings and presentations to departments and staff on program-related areas. (Senior)
Organizational Excellence Support
•Conducts new employee orientations and exit conferences, as required.
•Recommends changes to procedures and processes to improve efficiency and effectiveness.
•Provides back-up and assistance to other Organizational Excellence staff and programs to ensure continuity of operations during staff absences and peak periods.
•Assists with or develops, updates, and/or implements Organizational Excellence policies, procedures, processes, and forms.
Special Leave Requests
•Coordinates and monitors the agency's extended sick leave and sick leave pool programs.
•Updates and coordinates with the Employee Relations team in Organizational Excellence to ensure consistency in handling of special leave requests and accommodations.
•Provides advice, counsel, and technical assistance to managers, supervisors and staff regarding FMLA and special leave programs.
WHAT YOU WILL BRING:
Required Education
•Bachelor's degree from an accredited college or university in Human Resource Management, Business Management or a closely related field.
•High school diploma or equivalent and additional full-time experience in human resources, benefits or related experience may be substituted on an equivalent year-for-year basis.
Required Experience
•Three (3) years of full-time directly related, progressively responsible experience in Human Resources, Benefits, or other similarly related experience of which two (2) years must directly related to FMLA Coordination, which includes experience with ADA and ADAAA.
•Five (5) years of full-time directly related, progressively responsible experience in Human Resources, Benefits, or other similarly related experience of which three (3) years must directly related to FMLA Coordination, which includes experience with ADA and ADAAA. (Senior)
Preferred Qualifications
•Experience with Workers' Compensation programs.
•Experience conducting ergonomic assessments.
•Experience coordinating a remote office (or telework) program.
•Experience coordinating an employee assistance program.
•Certification as a PHR, SPHR, or completion of a human resources management program.
•Five (5) years of experience directly related to FMLA Coordination, which includes experience with ADA and ADAAA. (Senior)
Knowledge of:
•State and federal employment laws, statutes, and regulations.
•Federal and state laws related to Americans with Disabilities Act (ADA), Family Medical Leave Act (FMLA) and Workers' Compensation.
•Principles and practices of human resources management.
•Principles and practices related to state benefits and leave.
Skills in:
•Providing direction, guidance, counseling, and recommendations to management on human resources related matters.
•Using a computer in a Windows environment with word processing, spreadsheet, presentation and other business software.
•Planning, organizing, and prioritizing work assignments to manage a high-volume workload in a fast-paced and changing environment, and in completing detailed work with a high degree of accuracy.
•Analyzing human resources and management problems and devising effective solutions.
•Effective written and verbal communications, including preparing and delivering complex correspondence, reports, presentations and proposals.
Ability to:
•Interpret policy and data of varying levels of complexity in a clear and concise manner.
•Manage difficult situations with tact and diplomacy.
•Lead projects and facilitate workgroups.
•Provide quality customer service.
•Establish and maintain harmonious working relationships with co-workers, agency staff and external contacts, and to work effectively in a professional team environment.
