Job Purpose
- Manage the administrative operations of the Stamford office, including management of the office reception and general office affairs with a high degree of autonomy
Key Accountabilities
- Office management: offer the best possible in-office experience to employees
- Proactively ensure smooth office operations and independently coordinate with external vendors (cleaning, maintenance, catering, etc…)
- Cultivate strong relationships with building administration to facilitate effective coordination of initiatives and communication to employees
- Monitor pantry supplies and budget to ensure adequate stocking.
- Plan and execute office events (client breakfasts, office lunches, town halls, seasonal celebrations, etc.) and arrange transportation as needed.
- Uphold and implement office policies related to health, safety, and security.
- Handle receptionist responsibilities, including welcoming visitors and processing mail, invoices, and FedEx deliveries.
- Backup for the office assistant:
- Coordinate meetings and calendars
- Organize travel arrangements – coordinate bookings and produce detailed itineraries for international and national travel
- Prepare expense reports
Your Profile
Education/Qualifications
- Bachelors Degree
- Excellent telephone manner with good communication skills
- Excellent command of Microsoft Office – Outlook, Word, PowerPoint and Excel etc.
Experience
- Prior experience working as an office manager and/or with senior executives is a plus (3-5 years)
Knowledge and Skills
- Candidates should possess excellent organizational skills, with the ability to prioritize different tasks
- Proactive and self-starter, able to take initiative and work with limited supervision
- Keen attention to detail
- Excellent communication and interpersonal skills
- Ability to prioritize and multi-task

This role supports a hybrid working model, with the expectation that the successful candidate will work at least three days per week in our Stamford office
