The Indexer Associate or Indexer is responsible for performing indexing, scanning and mail processing activities of member records. The incumbent will sort, scan, and index member records and may process incoming mail. This position will proactively work with the Quality Control team, Indexing team, Mail Room, Legal, Benefits, Health and agency employees.
This vacancy will be filled at one of two levels - Indexer Associate or Indexer. Selected applicant will be offered the position that most closely matches their education and experience.
Salary Range
Indexer Associate: $44,100-$52,814
Indexer: $46,305-$55,455
WHAT YOU WILL DO:
Scanning
• Selects appropriate batch type and scans records or documents into the long-term archiving system.
• Scans reports to folders and verifies that images are scanned and legible.
• Rescans work scanned in error.
• Monitors and cleans scanner regularly, and changes feed rollers as needed.
Mail Processing
• Picks up incoming, outgoing, and overnight/high priority mail from various locations in the TRS buildings.
• Carefully reviews, sorts and batches records or documents, organizing pages in correct order.
• Verifies notary seal on documents as required.
• Moves, lifts and stacks boxes of documents.
• Logs, packs, updates box log and prepares boxes for destruction. (Indexer Associate)
• Assists with the systematic review and logging of documents slated for destruction based on the approved retention schedule. (Indexer responsible for)
Indexing
• Retrieves and logs batches of records to be indexed.
• Verifies scanned images for legibility, completeness and corrects discrepancies.
• Assists with or reviews documents and determines the appropriate indexing code, including researching various TRS automated systems to verify or identify SSNs, member status, and other information needed to appropriately index documents.
• Assists with or reviews digital images, organizing pages that are out of order and rotating images around as needed.
• Enters appropriate indexing values, form number/document type and member number into FileNet.
• Conducts name search in TRUST and Profiles comparing address and verifying information.
Performs related work as assigned.
WHAT YOU WILL BRING:
Required Education
• High School Diploma or GED
Required Experience
• One (1) year of full-time experience in a general office environment or similarly related experience.
• Three (3) years of full-time directly related, progressively responsible experience in a general office environment or related experience. (Indexer)
• One (1) year of full-time directly related, progressively responsible experience in maintaining records involving the use of record imaging or microfilming systems or related experience. (Indexer)
• A bachelor's degree in a closely related field may be substituted on an equivalent year-for-year basis. (Indexer)
Preferred Qualifications
• One (1) year of full-time directly related, progressively responsible experience in maintaining records involving the use of record imaging or microfilming systems or related experience.
• Two (2) years of full-time directly related, progressively responsible experience in maintaining records involving the use of record imaging or microfilming systems or related experience. (Indexer)
• Skill in using Microsoft Office and FileNet software.
Knowledge of
• Basic record and imaging management theories, practices, techniques, rules and regulations.
• General office practices and procedures.
Skill in
• Comparing computer images to original records and identifying discrepancies.
• Using a computer in a Windows environment with word processing and spreadsheet software.
• Entering data into computer systems and completing detailed work with a high degree of accuracy.
• Reviewing records, properly applying complex laws, regulations, rules, policies and making decisions based on sound judgment. (Indexer)
Ability to
• Prioritize and manage a high-volume workload in a fast-paced and changing work environment.
• Maintain confidentiality and security of member information.
• Sustain and preserve consistent integrity of member records by following established standards and procedures.
• Establish and maintain harmonious working relationships with co-workers, agency staff, TRS members, school district officials, and other external contacts, and to work effectively in a professional team environment.
Working Conditions and Physical Requirements
• The ability to learn, recall, and apply certain practices and policies.
• Marginal or corrected visual and auditory requirements.
• The ability to operate a computer and other machinery such as copiers, printers and telephones.
• The ability to navigate safely throughout work location.
• Prolonged periods standing, walking, sitting and/or remaining in a stationary position.
• The ability to work under deadlines, as a team member, and in direct contact with others.
• The ability to lift, carry, push, pull, move, load, and unload (assisted or unassisted) moderate to heavy bulky items weighing up to 25 lbs.
