Overview of Role
Rothschild & Co is looking for a facilities specialist to maintain its corporate office environment and associated internal systems. The role involves intensive customer service and interaction with professionals at all levels and strong follow-up to all requests in a timely and efficient manner. The facilities specialist reports to the Vice President of Property and Corporate Services.
Responsibilities
- Responsible for maintenance and general repairs of the facility such as cleaning services and specialized work orders by conducting daily comprehensive tours of floor space, identifying defects and recommending corrective actions
- Maintain the maintenance schedule of all contractual maintenance site visits for all vendors and insure the schedule is adhered to
- Maintain and Schedule standard maintenance work with vendors (such as HVAC, repairs, carpenters, electricians, plumbers, painters); working with team leads oversee the work of contractors and vendors and conducts inspection once complete to ensure that quality of work meets company standards
- Respond to and close all Facility tickets / Email requests in a timely manner and escalate problems as necessary
- Assist in ensuring the safety of occupants which includes the provisioning of emergency equipment & supplies, works with building management and participates in building safety/emergency programs
- Following direction from senior staff: implement small changes or work with contractors on larger repairs, installations, construction and/or remodelling, enhancement/improvement projects and maintenance projects
- Monitor and respond to after hours and weekend emergency calls involving facility needs
- Maintain office related inventory & supplies
- Provide system administration and operational responsibility for Rothschild & Co security systems which includes setting up ID badges and guest passes, regular audits of system, providing quarterly reports and making changes in response to reviews
- Execute office moves
- Participate in the creation and update of Facilities system, user and operational documents; creates new documents as required; reviews and updates documentation on a regular schedule;
- Supports MS Teams Telephony and Teams Rooms – assists with administration of TMS Teams telephony and provides support for MS Teams
- Perform and assist with other tasks and special projects as required or as assigned by supervisor
- Provide occasional remote support and conduct facilities tasks for our 6 North America branches, in addition to core role tasks at our main NYC site
Education and Qualifications
- Bachelor’s Degree preferred or Associates Degree / High School Diploma & relevant work experience accepted
Experience, Skills and Competencies Required
- 3 – 5 years of prior relevant experience in corporate environment
- Strong computer aptitude with knowledge of Microsoft Office and ability to learn new technology as needed
- Strong user management skills
- Ability to make minor repairs in facility when necessary
- Excellent oral and written communication skills
- Dependable and detail oriented
- Strong service orientation and organizational skills
- Self-starter and resourceful team player
- Ability to work well under pressure
- Ability to multi-task and to prioritize activities
- Flexibility for extended hours when necessary
- Ability to occasionally lift office products and supplies up to 50 pounds
Expected base salary rates for this role in our New York Office will be between $70,000 and $80,000 per year at the commencement of employment. However, salary offers are determined on an individualized basis and are based on a wide range of factors, including relevant skills, training, experience and education. Market and organizational factors are also considered. In addition to salary and our Rothschild & Co employee benefits package, successful candidates may be eligible to receive a discretionary bonus.
