Marketing Support Specialist
Position Description
As a member of the Marketing and New Business Development team, the
Marketing Support Specialist will provide coordination and project support for
the team.
Responsibilities include
conference planning and coordination, including travel arrangements and budget
maintenance.
Additionally, the candidate will act as a supporting team member in
organizing in person client and prospecting events, and support event related
marketing campaigns (traditional and digital), reporting to a senior marketing
team member.
The role will oversee
maintenance of accurate contact information in a CRM system and will regularly
work with members across the firm to keep data-up-to-date and segmented in an
actionable way.
The candidate will also play a supporting role in the
development of marketing strategies critical to the operation of the department
and the attainment of marketing and business development goals.
The ideal candidate will have excellent project management skills, be
very organized while being flexible and adaptable to change.
Must be capable of managing multiple projects
and prioritizing workload to meet deadlines and key objectives. Attention to detail and a high level of accuracy
is essential.
An ability to communicate
effectively with other internal teams and departments, as well as with industry
contacts and clients is a must.
Primary responsibilities include:
Coordinate NEAM’s industry conference marketing strategy, participation, and sponsorships. Develop and maintain relationships with key industry group personnel. Manage booth and other conference materials. Coordinate conference entertainment events.
Coordinate schedules and objectives with the New Business Development team to determine industry conference attendance. Manage all matters related to registration, travel and conference logistics.
Coordinate and track speaking engagements, webinars, etc.
Manage the inventory of conference materials and other promotional giveaways, monitoring collateral levels and coordinating production of items.
Track and monitor budgets for conferences, sponsorships, and internal events. Work with outside vendors to make on brand, strategic recommendations for NEAM branded giveaways.
Coordinate NEAM hosted events of small to medium size (internal and external). Act as a supporting team member in the coordination of large events including NEAM’s client conference and client/prospect events. Liaise with meeting planners on all aspects of event coordination. Work with various internal groups and clients.
Responsible for the coordination of all local insurance/investment community events and activities (CFA Society Hartford, CT IFS, etc.) to market and promote NEAM. Organize local events where NEAM can improve market presence.
CRM Data Coordination - Management of NEAM’s CRM tool, taking ownership of data accuracy.
Implement regular contact data audits to proactively improve the system’s ability to quickly access accurate and complete contact information.
Assist with distribution of mass marketing emails via e-marketing platform along with CRM support for marketing email campaigns.
Social media support – Assist in the creation of content onto social media platforms. Plan and schedule content in advance.
Propose social media (LinkedIn) posts that promote NEAM’s attendance and sponsorship of industry events. Work closely with senior marketing team members to suggest conference/event related posts, providing relevant details to help craft on-brand messaging points relevant to the events you are managing.
Provide marketing and new business development support as needed.
Coordinate client gifts and ordering of branded giveaway items for the firm
Periodic travel may be required.

Qualifications
The successful candidate
will possess relevant industry experience in insurance and/or financial
industry, with 3-5 years of demonstrated experience
Experience with conference and/or event planning from logistics to strategy – ex: booking travel details, gathering quotes from venues, confidently making recommendations that align with strategic event planning goals such as increasing attendance
High competence in Microsoft Word, Excel, PowerPoint, and other Office suite products, Adobe Acrobat; Experience with HubSpot or other CRM platforms a significant plus.
Excellent interpersonal skills to work across various internal and external groups (including parent company, travel partners and 3rd party meeting planners)
A willingness to learn from senior team members to best understand the company's needs and use their experience to make informed recommendations based on their personal area of expertise
Solutions oriented self-starter, well organized with a high-level of attention to detail
Demonstrated ability to listen and offer solutions to problems, with strong focus on client service and creativity
Must be comfortable in a team-oriented collegial environment that values individual contribution and collaborative brainstorming
Resourceful and naturally takes the initiative to drive projects to completion
Ability to multi-task and prioritize duties to meet deadlines
Bachelor’s degree in marketing or related field required
Demonstrated experience working collaboratively with a marketing team
Demonstrated experience coordinating and managing events with an eye for detail
Insurance and financial industry experience preferred
Ability to travel domestically for client and industry events (less than 10%)
