Position Summary:
The Senior Portfolio Administrator is responsible for supporting the Collateral Administration team at Octagon with various aspects of daily operations, data management, and maintenance of accounting systems in accordance with business needs. We are looking for a professional with 3+ years of experience who is curious, eager to learn, excited to contribute and take initiative, and will help add value to the team. The Senior Portfolio Administrator will report to the Managing Director of Collateral Administration and take on an integral role in helping to manage and contribute to Octagon’s operational responsibilities.
Essential Duties and Responsibilities:
- Perform pre- and post-trade settlement operations tasks
- Generate daily reports to confirm trade documentation for trades are processed timely
- Assist with daily cash management of active accounts for trade settlements
- Provide trade allocations to counterparties to facilitate smooth settlement of daily trades
- Interact with CLO Debt & Equity and Trading teams on trade issue remediation and reconciliation
- Interact with service providers on daily trade settlements and activity
- Assist with responding to inquiries from fund administrators, trading counterparties, and administrative agents
- Collaborate with Accounting team to assist with reconciliation of cash and holdings to maintain accurate books & records
- Support CLO Debt & Equity team with administrative tasks
- Adhere to firm’s data retention and recordkeeping requirements
- Support the development of technology-based solutions designed to improve internal recordkeeping, monitoring, and reporting capabilities
- Help answer questions pertaining to investment activity and follow up with solutions/process improvement
- Proactively take on ad hoc projects and provide support for new business initiatives, as needed
Areas of Knowledge, Skills, and Abilities/Qualifications:
- Bachelor’s degree with 3+ years of relevant experience in CLOs, syndicated loans or loan products working as an operational credit administrator at an investment adviser, administrator, or related professional services firm
- Working knowledge of Bond and CLO Debt & Equity settlements is preferred
- General knowledge of bank loan settlements and LSTA and/or LMA standard terms and conditions is preferred
- Working knowledge of ClearPar, WSO Administrator, Allvue Systems (Everest), FinDox, LendAmend, and/or DTCC (ALERT and CTM) platforms, a plus
- Highly motivated, proactive team player with a positive attitude
- Excellent written and oral communication skills, strong analytical skills, and exemplary attention to detail
- Ability to multi‐task, be proactive, work independently, and work effectively under pressure (often under deadlines and changing priorities)
- Comfortable interacting and building relationships with all teams (including senior management) across the firm and affiliated organizations
