Bracebridge is looking for a dynamic professional to provide high level administrative support as well as personal assistance to various executive members of the firm. You will be acting as their assistant and liaison in both their personal and professional lives. Demonstrating sound judgment, discretion, and the ability to think on their feet, qualified candidates must be able to find ways to maximize and leverage the executives’ time. You must be able to work effectively under pressure, balance priorities, meet deadlines, and deliver high quality, error free work. The incumbent will be expected to prioritize their day in order to meet the needs of the executives whom they support.
Primary Responsibilities:
- Exercise initiative and independent judgment in managing the executives’ schedule, daily work and personal activities
- Assist the executive with managing internal and external correspondence that relate to work and personal activities
- Provide consistent administrative support including updating contact information, preparing expense reports, and completing other office organization tasks
- Assist with the preparation of meeting materials and other reports or documents
- Manage all domestic and international travel arrangements with detailed itineraries
- Become involved with special project work as needed
- Responsible for personal needs including running a variety of errands, event/party planning, travel planning, coordinating personal schedules, tracking and paying bills, and purchasing personal items and gifts
Requirements:
- 3 years minimum work experience
- College degree and relevant work experience; prior experience working for a financial services company would be a plus
- Strong proficiency in Microsoft Office applications including Outlook, Word, Excel, and PowerPoint
- Ability to manage multiple tasks, prioritize effectively, meet deadlines, and deliver high quality, error free work in a fast-paced environment
- Strong interpersonal and communication skills
- Strong work ethic, initiative, and a proactive approach
- Ability to discreetly handle confidential and sensitive information
- Extensive experience with logistics and travel
