Job Description
The Client Accounting Sr. Specialist works to ensure compliance with the Firm’s financial guidelines on new matters. This role involves close collaboration with our Revenue team to ensure that all billing setups, including rates and discounts are set up accurately, in accordance with client fee agreements and billing guidelines.
Primary Responsibilities and/or Essential functions:
- Reviews outside counsel guidelines to summarize financial aspects.
- Implements discount/cost exceptions pertaining to OCG in the financial system and obtains appropriate approval.
- Documents status of client OCG’s, and agreed exceptions, for departmental use.
- Communicates client fee arrangements and billing requirements to the Billing team, ensuring proper documentation and compliance.
- Loads billing rates for new timekeepers in accounting software.
- Follows up and confirms rate changes in relation to timekeeper effective date changes.
- Assists and serves as backup for compiling monthly write off report.
- Ensures proper approvals are obtained according to firm write off policy prior to posting invoices.
- Prepares write-off report to send to Accounting department for inclusion within monthly financial package to management committee.
- Maintains, updates, distributes, and assists in analysis of client/matter discount policy.
- Runs monthly reports to calculate volume discounts, notifies billers of result, and ensures the system is updated with accurate discounts.
- Tracks and reports on AFA’s and matter budgets, providing concise analysis of performance results.
- Maintains and updates client/matter discount agreement notes in financial system to match discount policy and address inquiries.
- Supports Revenue team with financial system testing in preparation for system upgrades.
- Handles additional other special projects and responsibilities as assigned by management.
Knowledge, Skills & Abilities:
- 4+ years of law firm billing or relevant experience.
- Elite 3E software knowledge a plus.
- Strong knowledge of MS Excel.
- Ability to work with limited supervision and follow up on problem areas.
- Strong oral and written communication skills.
- Must be detail oriented.
- Ability to work well in a team environment.
Education/Certifications:
- Bachelor’s degree or equivalent work experience required.
Estimated salary range is $100,000 - $115,000. Compensation decisions within the range are dependent on the facts and circumstances of each case including but not limited to the individual's skills, experience, and qualifications.
