Role Overview
This is a unique opportunity to serve as a trusted partner to the Chairman and Vice Chairman of a global investment management firm supporting their executive-level needs and goals. The role requires someone who thrives in complexity, exercises sound judgment, anticipates needs before they arise, and can confidently manage competing priorities, different styles, and sensitive financial matters. As Chief of Staff, you will bring judgment, precision, discretion, and continuity to the day-to-day execution of complex professional matters.
Key Responsibilities
- Organize monthly investment meetings, including coordination of communications, attendees, and all associated logistics. Manage and execute expeditiously against any follow ups and provide executive-ready plans to support the outcomes of the meetings as needed
- Maintain close alignment with stakeholders to anticipate upcoming priorities, responsibilities, and commitments
- Own complex scheduling; proactively manage communications, anticipate conflicts, and align priorities
- Serve as a primary point of contact by managing inbound communications, responding to internal and external inquiries, routing calls appropriately, and capturing detailed messages
- Coordinate the administration of investment documentation related to opening, closing, or modifying investments
- Coordinate complex commercial and private travel arrangements and itineraries for business and related travel, including air travel, accommodations, meals, and transportation
- Manage and integrate calendars across professional, personal, and philanthropic commitments; coordinate closely with key stakeholders
- Plan special events, manage projects, and execute time-sensitive or high-priority purchases
- Oversee administrative activities including mail management, outbound mailings, and routing incoming calls and emails
- Coordinate financial, legal, tax, and other sensitive documents and filings
- Manage executive expenses; compile and submit expense reports accurately and in a timely manner
- Manage personal bank accounts, account transfers, tax documentation, and mailings for quarterly filings; liaise extensively with accountants
- Maintain accurate and up-to-date business and personal contact records
- Manage insurance policies and claims submissions for two executives
Ideal Candidate Profile
A successful candidate will be a senior, highly trusted professional with:
- 5+ years of experience in a Chief of Staff, senior executive assistant, or comparable role
- Proven experience supporting Chairman-, Vice Chairman-, or C-suite–level leaders in complex environments
- Demonstrated experience managing personal financial matters, banking activity, and confidential documentation
- Background in financial services or investment management strongly preferred
- Exceptional attention to detail and exemplary follow-through
- Executive presence and strong interpersonal skills, with the ability to manage diverse personalities and competing priorities
- High emotional intelligence, discretion, and sound judgment
- Proficiency in standard office productivity tools
Work Environment
This role operates in a hybrid model, with up to three days in the office, with flexibility to increase remote work during weeks when the Chairman and Vice Chairman are not in the office
Salary Range: $150,000 - $165,000 USD Annually
The actual base salary may vary depending on factors, including, but not limited to location, work experience, education, training, skill level, and market conditions. At Pzena Investment Management, base salary is just one component of the total compensation, which may include, year-end discretionary bonus and employee benefits.
