We are expanding our physical document and check scanning solution service for our clients. In this role, you will provide day-to-day supervision and oversight of a staff of 9 responsible for the daily processing of physical documents and checks. You will be the primary contact for the client and be responsible for ensuring all functions are completed accurately and timely. The Imaging Solutions team is responsible for tracking and reporting on contractual service level agreements, key business indicators, quality control processes and adhering to the contractual scope of services and general control framework of GTO (Business Continuity Plan management, and ongoing Risk Management). Our success is derived from our ability to gain efficiencies from streamlined processes supporting a predefined workflow, our integration with other Broadridge solutions, and our constant focus on effective risk management.
We are made up of high performing teams that meet in person to learn and collaborate as needed. This role is considered 100% onsite, which means you’ll be assigned to the Newark, NJ Broadridge office.
Role Responsibilities
- Using various criteria and controls to analyze/scan various documents and physical checks for client review
- Extensive communication with various internal team members and external clients
- Must be on-site at work location 100% (5 days per week)
- Liaising with the outsourcing middle office personnel to effect efficient scanning/rejecting/returning of physical checks
- Supervise the staff to ensure daily tasks are completed accurately and timely
- Foster an inclusive team culture and encourage professional development
- Reconciliation of all checks received, scanned, returned and destroyed
- Process appropriate scanning in accordance with Firm guidelines
- Ensure regulatory compliance with all industry regulations and oversee monthly audits requested by clients
- Developing a detailed understanding of all aspects of the workflow process to allow associates to rotate responsibilities based on need
- Development of tactical solutions to increase efficiency and process transparency
- Review Quality Controls, Overnight Package tracking and various reconciliations
- Liaise with senior managers in Operations, technology and the Business to develop strategic solutions
- Learns and applies “check handling “ policies and procedures
- Provides Customer support and resolution on workflow/transaction issues
- Perform administrative supervisor functions: Timesheet review/approvals, annual objectives, Mid and year-end reviews.
- Works on special projects as needed
Qualifications:
- At least 2-4 years of supervisory work experience in Operations or related field
- Proficiency using the Microsoft Office Suite in particular Excel, PowerPoint and Microsoft Word
- Excellent organizational and time management skills
- Candidate must be proactive, enthusiastic and team oriented
- Ability to remain composed under pressure
- Ability to prioritize and make decisions in a fast-paced environment
