Northleaf is currently recruiting for an Analyst to join the Investor Servicing and Reporting Team. This position will be based in Northleaf’s Toronto office and will report to the Director, Sales Strategy and Analytics.
The successful candidate will be responsible for various investor-related activities as outlined below, and will be working closely with Northleaf’s internal Sales, Investor Relations, Operation, Legal and Tax teams, as well as third-party administrators.
Accountabilities
As part of the Investor Servicing and Reporting team, the Analyst will play a key role in the following critical investor-focused activities:
- Fund closings and investor onboarding
- Investor on-line web portal management
- Investor contact management
- Investor query management
- Investor audit confirmation management
Specific responsibilities will include the following:
Fund closings and investor onboarding
- Compile investor data from various source documents and liaise closely with Sales, Legal, Operations and Tax teams during compilation to ensure information is accurate and complete
- Load investor information into Investran CRM (Northleaf’s CRM system)
- Send investor’s critical data and related documents to third-party administrators for set up in their accounting system
- Run CRM reports for senior review to ensure completeness and accuracy of investor data
- Create new investor accounts and related contacts in FIS Data Exchange (DX), Northleaf’s investor on-line web portal
- Ensure all contacts provided by the Sales team are linked to the correct investor in DX
- Update investor commitments at quarter-end for foreign-currency reporting
- Work with other members of the Investor Servicing and Reporting team to reengineer, improve and institutionalize Northleaf’s fund closing process to ensure best in class execution
Investor on-line web portal management
- Upload and release documents from DX (i.e. capital call/distribution notices; quarterly reports; valuation estimates; tax slips, etc.)
- Run audit reports from DX to see if investors have accessed their notices and other documents as required
Investor contact management
- Track all requests received both internally and externally and save a copy of correspondence when request has been completed
- Obtain appropriate approvals from the Sales/IR team before making any changes:
- DX - Update investor records in DX and generate reports for review/approval
- Investran CRM - Update investor records in Investran CRM and generate reports for review/approval
Investor query management
- Manage Northleaf’s central investor email box: track all requests received and save a copy of correspondence when request has been completed
- Triage requests and ensure a team is assigned to respond to the request and reply to the investor
- Monitor the status of all investor requests and follow-up as appropriate if no response within 24 hours
Investor audit confirmation management
- Track audit requests that are received and note due date requested
- Draft standard responses and compile attachments to reply to audit firm within 24-48 hours
- Diarize items to be followed-up (i.e. sending audited financial statements when available)
- Respond to follow-up requests
This is a 14-month contract, inclusive of health and dental benefits.
Qualifications
- Bachelor’s or Associate’s degree; concentration in Business, Finance, Accounting or Legal preferred but not necessary
- Financial services experience preferred
- Very strong attention to detail, highly organized and process driven
- Ability to effectively manage and prioritize competing, fluid deadlines and workstreams, especially at quarter-ends
- A professional presence and positive attitude combined with very strong relationship and communication skills (written and verbal) to interact effectively with internal and external parties, particularly Northleaf’s investors and their advisors/representatives
- A highly motivated, intuitive self-starter with the ability to work independently within a team context
- Presence to provide recommendations for improvements to allow for scalable processes
- Strong critical thinking and problem-solving skills
- Proficient in Microsoft Office suite, particularly Word and Excel
