SUMMARY
Responsible for daily sorting, delivery and posting of incoming and outgoing mail.Also responsible for delivery of expedited mail, inter-office mail as well as supplies and plans and coordinates work and produces all in-house printed material.Maintain numerous recordkeeping logbooks and operates and maintain all in-house networked copier/printers, analog copiers as well as fax machines.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Sort and deliver incoming mail
- Prepare and post outgoing mail using mail processing machine
- Pick up and deliver inter-office mail and packages
- Operate the following machinery: folder, folder-inserter, mail meter and letter opener.
- Deliver and prepare special mailings, overnight packages, certified mail, and accountable mail
- Distribute supplies and verify and deliver purchase order items
- Maintain computerized accounting system including mail expenditures for internal reports
- Perform duties and special projects as assigned by the Records Supervisor/Office Services Manager
- Schedule and coordinate the completion of printed material including booklets and bound reports
- Operate the high-speed copier using digital technology
- Maintain all copiers (digital and analog) throughout IMRF, requesting service calls when needed
- Meet with staff and managers to plan copy work and determine priorities
- Track inventory of all paper and order supplies as needed
- Track usage and repair history on all copiers, fax machines and bindery equipment.
- Communicate verbally and through written copy orders, provided by requester, in order to determine and meet deadlines for jobs
- Monitor the performance of temporary workers on large scale bindery jobs. Assess project size to determine staffing needs.
- Work with vending machine vendor in reporting issues and request new items
·Enter work order tickets for Lights, roof leaks, heating and cooling, washroom issues, cleaning requests etc. daily.
·Request Padded elevators, time of delivery, and proof of Certificate of Insurance of company delivering as required
·Monitor the track-it system as a back up to the Office Services Manager and respond to Track It tickets placed by staff
·Assist the Office Services Manager with possible tenant improvement projects and capital projects
·Other duties may be assigned.

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED) and six months to one-year related experience.
Valid driver’s license.

Benefits and Salary
The expected annual salary range for this role is $41,182.00 - $43,652.92. Please note the salary information is a general guideline only. Salaries are based upon candidate skills, experience, and qualifications, as well as market and business considerations. The range listed is just one component of IMRF's total compensation package for employees.
