About the Role
The Facilities & Office Services team is a lean team managing our office facilities globally, creating a consistent environment for employees to work at their best and welcome clients.
We are seeking a highly organized operator to join our team to head office operations. In this role, you will be responsible for overseeing day-to-day operations across our NY offices and support office managers around the world to ensure our office experience expands globally.
Key Responsibilities
- Own onsite operations for the US market and partner closely with Office Managers globally to promote a consistent experience in as many offices as possible. Onsite operations include:
- In Office Lunch Service:
- Where onsite food service vendors exist, serve as primary relationship manager and triage employee feedback to continue to keep satisfaction high with our population and ensure vendor is delivering upon our asks in a reasonable timeline
- Evaluate opportunity cost between different types of food service vendors in new markets and liaise with onsite office manager to spin up and manage desired approach
- Gym Operators / Alternative Provider Partnership
- Where onsite vendors exist, serve as primary relationship manager and work with vendor to promote opportunities to ensure the best experience for employees
- Set up and manage ancillary services needed for onsite gyms including towel service, cleaning, and fresh juice delivery
- In new markets, coordinate with HR and Legal to generate safety waivers and setup process to collect and monitor
- Partner with HR in markets where we do not have an onsite gym to evaluate a reasonable comparable benefit
- Security Services
- Manage onsite security in partnership with IT in our US markets, including liaising with building security staff, hiring and managing experience with dedicated security staff (where relevant), coordinating guest registration / security approach in each market, and liaising with reception to manage visitor experience
- Liaise with building management company for fire & life safety protocols and testing and ensure accurate information is maintained in the firm’s BCP policy
- Own fire & life safety emergency alerting within our AlertMedia communication platform
- Plant Services
- Identify, recommend, onboard and manage onsite plant service vendors (in partnership with Office Managers in non-NY offices)
- Own SpaceIQ, working closely with IT to ensure data is flowing correctly; keep seating plans updated and accurate around the world
- Oversee Facilities inquiry inbox to triage employee requests to right party on team / in our network and track completion of tasks
- Spearhead move logistics and move management including new office opening checklist, coordinate with moving company, layout floor plans with team leaders, organize communications to impacted employees and prepare for a seamless day 1
- Implement a hotel desk framework in SpaceIQ and roll out to global offices to support increased visitor experience
- Develop a global office occupancy report for monthly teamwide review and elevate areas of risk / concern
- Travel required to US-based offices on a regular basis to validate and offer hands on support on critical operations
- Support continuous vendor management in our US Offices (and more broadly, ad hoc), including preventive maintenance tracking to ensure all quarterly and monthly maintenance contracts are adhered to
- Oversee office services seam in management of storage room and regular clean out to ensure optimizing our storage-related expenses.
Professional Qualifications
- BA/BS degree required with 10+ years of experience in office services, real estate operations, utility coordination, or related field
- Highly organized with ability to manage several projects and stakeholders at any one time
- Proven ability to work calmly in a high-paced, dynamic environment
- Ability to read and interpret floor plans. Experience with SpaceIQ or other online technology tools for managing occupancy, seating, etc. a strong +
- Demonstrates close attention to detail and consistent follow-up skills
- Strong written and verbal communication skills
- Flexibility to travel
It is expected that the base annual salary range for this New York City-based position will be $110,000 to $125,000. Actual salaries may vary based on factors, such as skill, experience, and qualification for the role. Employees may be eligible for a discretionary bonus, based on factors such as individual and team performance.
