SUMMARY
Provides operational (generalist) support to the Human Resources Department on all personnel matters and assists with recruiting, talent management, HR data and documentation, day to day operational activities, and ad-hoc departmental projects and assignments.
JOB FUNCTIONS/DUTIES AND RESPONSIBILITIES
- Performs administrative tasks and customer service functions by answering general HR employee requests and questions and escalates to senior team members as appropriate.
- Assists the HR Team with coordination of HR-related events such as Lunch-n-Learn sessions, Holiday Party, Charity Events (JP Morgan Chase Challenge, Hoboken 5k, etc.), and others as required.
- Verifies and monitors I-9 documentation and ensures data integrity by appropriately and accurately maintaining all records current, including HRIS data input and coordinates appropriately with other team members.
- Assists with recruitment efforts by scheduling interviews in addition to conducting background checks and assisting with new hire onboarding process, such as preparing and/ reviewing new employee files and ensuring that all employee records are kept up to date and are accurate.
- Conducts new hire orientations and assists the department with the new hire orientation process and onboarding as appropriate; assists with processing terminations.
- Assists with collection of job descriptions, performance reviews, and other documents, and is responsible for maintaining an updated database and employee files up to date.
- Responsible for monitoring the Bank’s BCP supplies and ensures the sufficient inventory is maintained.
- Assists the HR Manager and Sr. Generalist with various management reports, monthly reporting, immigration reports, and any ad-hoc reports as assigned and as required and completes projects within the assigned deadlines. Assists with all immigration matters by ensuring all of the documentation is appropriately maintained and filed.
- Assists with non-exempt payroll by reviewing and submitting the non-exempt overtime payroll reports to Payroll Department.
- Performs coordination of HR activities and performs various clerical functions as required by HR operations such as day-to day processing, Employee file maintenance, invoice reconciliation, report generation, and others as assigned.
- Assists with maintaining and updating the Bank’s performance management system under the direction of Sr. Generalist and Department Manager.
- Assists HR Department with various research projects and/or special projects and performs other duties as assigned.
REQUIREMENTS
- Bachelor’s degree or equivalent in Human Resources, Business or other relevant studiess.
- 3-6 years of Human Resources junior generalist experience in banking or a brokerage business preferred. HR certifications (e.g. PHR, SHRM-CP) are a plus.
- Advanced MS Word, Excel, Access and Power Point skills required
- Experience with HRIS preferred (ADP, Taleo and other related HR software package).
- Experience with talent management systems is preferred.
- Strong communication and interpersonal skills.
- Ability to work with multiple projects and priorities.
- Strong understanding of the importance of employee and company confidentiality.
